Employees who want to keep training with us afterwards can join at $85 a month, minimum five people, and that rate extends to their household.
Who sees the results?
The employee, and only the employee. Their report goes directly to them. You receive group averages only, and we will not report any subgroup smaller than eight people, because below that individuals become identifiable.
Is participation mandatory?
Never. Participation is voluntary and any reward is for showing up, never for hitting a number. We do not run outcome-based programs. Tying a reward to a body fat or fitness target creates real legal exposure for you, and we will not design one.
Can employees use HSA or FSA funds?
The DEXA scan usually qualifies. IRS Publication 502 names diagnostic testing and specifically lists electronic body scans. VO2 max and metabolic testing are less clear cut and depend on how they are framed clinically. Gym membership does not qualify. Your plan administrator has the final say.
If we pay for memberships, is that taxable to the employee?
Yes. Employer-paid membership at our facility is taxable W-2 wages. The on-premises athletic facility exclusion requires the employer to own or lease and operate the facility with no public access, and we do not meet those conditions. Most vendors will not tell you this. Better you hear it now than from your accountant in January.
Do you collect family medical history?
No, and we never will. Collecting it in a workplace wellness context is a GINA violation and it is the most common mistake in this industry.
Will this reduce our healthcare costs?
We do not claim that, and we will not. The large randomised trials of workplace wellness found no effect on healthcare spending, absenteeism or productivity, and the three year follow up found the same. What the research does support is that people change specific behaviours after seeing their own numbers, and that more of them end up connected to a primary care doctor. If a vendor promises you a return on investment figure, ask them which study it comes from.
Can you come to our office instead?
No. The DEXA scanner is a fixed medical device and it does not travel. That is why we only work with employers close enough that the trip is trivial. If you are within about ten minutes of Flower Mound, this works. If you are further out, it probably does not, and we will say so.
How long does each employee actually lose?
About twenty minutes door to door for the DEXA, plus the drive. The group briefing is 45 minutes and can be run over a lunch hour.
